I only retain your personal data for as long as is strictly necessary to fulfil the purposes for which it was collected, including satisfying any legal, accounting, or professional insurance requirements. My retention periods are as follows:
Enquiry Data: For initial enquiries or contact forms from individuals who do not move forward with coaching, I retain your details for 12 months from the date of our last contact. This allows space for follow-up questions or delayed bookings.
Client Contracts and Financial Records: I am required by UK tax law (HMRC) to keep records of our contract and financial transactions for 6 years after the end of the tax year in which our last session occurred.
Coaching Discovery and Session Notes: To maintain continuity of care and to comply with the requirements of my professional indemnity insurance, I retain notes from our sessions for 6 years after the conclusion of our coaching relationship.
Administrative Data: Technical information, such as calendar invites and meeting links, is typically cleared 2 years after our work together has ended.
Marketing Data: If you have opted-in to receive updates, I keep this information until you choose to unsubscribe. Data is deleted immediately upon your request.
Once these retention periods have passed, your data is permanently and securely destroyed. Digital files are purged from secure cloud storage and local drives using encrypted erasure methods, and any physical documentation is cross-shredded.
While I am contractually bound to keep certain records for the periods mentioned above, I respect your ownership of your personal story. If you would like me to delete your coaching session notes earlier than the 6-year professional standard, please contact me. I will accommodate these requests wherever they do not conflict with my insurance obligations.
